Privacy policy

Draft for legal review before launch. Items in [square brackets] need your details.
This policy explains what personal information TheWedInvites collects, why, who we share it with, and the choices you have. It applies to our shop at thewedinvites.com and to every wedding website we host.
Who we are
TheWedInvites is operated by [company legal name], [registered address], Hong Kong (“we”, “us”). Contact us about privacy at [email protected].
For orders and your account, we decide how your information is used (we are the controller). For the guest replies collected on your wedding website, you decide what to collect and we process it on your behalf (we are your processor), under the terms in our terms of service.
What we collect
When you send an order request
- Your name, your partner's name, email address, country, wedding date and any notes you write.
- The package, design, languages and add-ons you choose, and whether you agreed to receive news from us.
When guests reply on a wedding website
- The guest's name and, if they give it, email address; whether they are attending; number of guests; meal choice; dietary needs; a song request; and a message to the couple.
- Dietary needs can reveal health or religious information. Guests choose whether to share it, and it is used only so the couple and caterer can plan the meal.
Technical information
- Our server keeps short-lived logs of IP addresses to block abuse and limit repeated submissions. These are deleted within 30 days.
- Your browser remembers the language you picked on a wedding website, on your own device only. We do not use advertising or analytics cookies.
Why we use it
| Purpose | Legal basis (where the law requires one) |
|---|---|
| Replying to your request, building and hosting your site, producing paper and gifts | To take steps you asked for and perform our contract with you |
| Showing guest replies to the couple | On the couple's instructions, as their processor |
| Preventing spam and abuse | Our legitimate interest in keeping the service safe |
| Keeping records for tax and accounting | Legal obligation |
| Sending news about new designs | Your consent, which you can withdraw at any time |
We never sell personal information, never share it for advertising, and never use guest replies for anything except showing them to the couple.
Who we share it with
- Production partners who print paper and make gifts: only the names, design, quantities and delivery address needed for your order.
- Service providers who run parts of the service for us: [hosting and network provider, e.g. Cloudflare], [email provider], [payment provider]. Each may only use the information to provide its service to us.
- Code and map providers: our typefaces are served from our own server. The 3D scenes load code from jsDelivr, which receives your IP address when your browser fetches it. Maps load from Google only when you choose to show them.
- Authorities, when the law requires it.
Where it is stored
Our servers are in [country]. Some providers above process information in other countries, including the United States. Where the law requires it, we use safeguards such as standard contractual clauses for those transfers.
How long we keep it
- Order requests that do not become orders: 12 months.
- Orders and invoices: as long as tax law requires, usually 7 years.
- Wedding websites and guest replies: while your site is hosted, then deleted within 90 days unless you ask us to keep them longer. You can download your guest list at any time before then.
Your rights
Depending on where you live, you can ask to see, correct, download or delete your information, object to or restrict how we use it, and withdraw consent. Write to [email protected] and we will reply within one month, or sooner where your local law requires.
Guests who want their reply changed or removed can ask the couple, or write to us and we will pass it on.
You can also complain to your data protection authority, for example the Privacy Commissioner for Personal Data in Hong Kong, your EU or UK supervisory authority, the Personal Information Protection Commission in Japan or Korea, or the California Privacy Protection Agency.
Regional notes
- California: we do not sell or share personal information as those terms are defined in the CCPA, and we do not use sensitive personal information to infer characteristics.
- Mainland China: if you are in mainland China, we ask for your separate consent before transferring your information outside mainland China.
- Children: our service is for adults planning a wedding. We do not knowingly collect information from children except as named guests on a reply sent by an adult.
Security
Pages are served over encrypted connections, admin access needs a private key, and guest lists are visible only to the couple and to us. No system is perfectly secure; if a breach affects you, we will tell you and the authorities as the law requires.
Changes
We will post any changes here and update the date above. If a change is significant, we will email customers before it takes effect.
